No-shows, followed up the same day.
A missed appointment is an empty chair, and a patient who may not book again. This is how Argus confirms, rebooks and follows up, to rules you set.
You decide what happens, and when.
Each situation gets a message and a time. Anything about fees or deposits stays with your manager.
| When | What happens | Timing |
|---|---|---|
| Appointment tomorrow | Confirmation, with a link to change the time | 24 hours before |
| Patient did not come | Offer of a new time | 2 hours after |
| Second miss in 90 days | Sent to your manager, not the patient | Same day |
Six steps, for every appointment.
- 01
Confirm the day before
Each patient gets a message asking them to confirm, or to pick a new time if they can’t make it.
- 02
Free the slot early
A patient who can’t make it is moved to a new time from your calendar, and the old slot is free again.
- 03
Mark who didn’t come
Your front desk marks a no-show the way they record it today, in the calendar or your sheet.
- 04
Offer a new time
The patient gets the wording you approved, by WhatsApp, SMS or email, with free times from your calendar.
- 05
Follow up once, then stop
No reply after 3 days, or the gap you choose, gets one more message. Then the patient is left to your team.
- 06
Send repeat misses to a person
A patient who misses twice within the period you set goes to your manager, who decides what happens next.
Each missed appointment has a next step.
Your front desk sees who has rebooked, who is still waiting for a reply and who has gone to the manager.

You approve:
- When each message goes out.
- The wording of every message.
- Which patients are left to your team instead.
- What happens after a repeat miss, including any deposit or fee.
How we handle patient data is on our Trust page.
To set it up:
- Your rules
- When to confirm, when to follow up and what counts as a repeat miss. We write them up and you approve them.
- Your calendar
- Google Calendar or Cal.com, so patients can confirm and rebook into real free times.
- How you mark a no-show
- The way your front desk records it today, in the calendar or your sheet. Nothing new to learn.
- Your wording
- We draft each message in your clinic’s voice and you approve it before anything is sent.
Common Questions
Do we need a new system to mark no-shows?
No. Your front desk marks them the way it does today, in your calendar or sheet, and Argus picks that up.
Will it charge patients a no-show fee?
No. Argus never charges anyone. If your clinic has a fee or deposit policy, a repeat miss goes to your manager, who decides.
Can we see what happened?
Yes. Every message, reply and rebooking is recorded, and each week you get a short report: how many confirmed, how many missed and how many rebooked.
How long does it take to set up, and what does it cost?
It is an Arcadia build, usually 2 to 4 weeks from sign-off. Starter is from S$1,980 setup + S$480/month for one process; your fixed quote comes with the Process Map after the call.
Bring last month\u2019s no-shows to the call.
30 minutes, no commitment. Within 2 working days you get a free one-page Process Map: the three processes to automate first, the hours they take today, and a fixed quote.
